Voting
Your browser stores a random identifier. We store its hashed form, your feature choices and their original timestamps to count votes, prevent ordinary duplicates and calculate voting trends over the last 30 days. Other visitors see totals, not individual choices. These records are separate from your app account and planner data.
Use Remove all my votes to delete the votes associated with this browser. Removing an individual vote stops it counting but keeps its original timestamp so an older vote cannot become a new trending vote. Clearing browser storage alone does not delete server records and can remove your ability to identify them. We keep vote records until they are deleted using the control or by an administrator.
Suggesting a feature
We collect the title and description you provide, a submission reference and time, and your optional email address and file. A hashed browser identifier and a content digest help prevent repeated submissions and reconcile retries. Email and attachments are optional. Please avoid passwords, financial details or other sensitive information.
Your suggestion, contact details, attachment and review notes stay private. We use an email address only to follow up about the idea. Approval creates a hidden feature draft using only the title and description. A reviewer edits that draft and separately decides whether to show it on the website. Private contact details, files and review notes are never copied to the public catalogue.
Why we use this information
We rely on our legitimate interests in prioritising product improvements, reviewing voluntary suggestions, communicating about them and protecting the service from misuse. You can contact us to object to this processing. We do not use submissions for marketing or sell your information.
Storage and service providers
Cloudflare hosts the website and a D1 database containing votes and durable submission receipts. The database is configured for the EU jurisdiction. Microsoft 365 stores the private review queue and attachments in a restricted SharePoint library. Power Automate sends our support mailbox a notification linking to the private queue; it does not copy the suggestion text, contact details or file into that notification.
Cloudflare Turnstile checks new votes and suggestions for automated abuse. It processes technical browser and request information under Cloudflare's privacy policy. Removing votes does not require this check. Our application rate limiter stores a daily keyed hash of the network address, not the raw IP address; old rate-limit records are cleared as requests are processed. Hosting providers may separately process request metadata for delivery and security as described in our main policy.
Microsoft and Cloudflare may process information outside the UK. We use their applicable data-processing agreements and contractual transfer safeguards where required. An EU database location does not mean that every part of the service is processed only in the EU.
Retention and deletion
Suggestions and attachments remain until manually deleted. We periodically review whether they are still needed; there is no automatic deletion based on their age or review status. Ask support to remove a suggestion using the reference shown after submission. We remove its private SharePoint queue entry, attachment, delivery queue and database receipt. We retain only a minimal reference and deletion time to prevent a retried request recreating it. An already-approved public feature is reviewed separately because it may describe a general product improvement rather than identify its submitter.
Deleted SharePoint records or files may remain recoverable under Microsoft 365's recycle-bin, backup or applicable retention arrangements before final removal. Provider backups are not used as the active review queue. We do not automatically erase submissions simply because they have been approved or rejected.
Your rights
Where applicable, you can request access, correction, deletion or restriction, and object to processing. Contact support with your submission reference or the information needed to locate it. We cannot identify earlier votes from your email address because voting uses a browser identifier. You can also complain to the Information Commissioner's Office.
